About the service

What does It's Official Notary actually do?
We are a notary signing agency for the Austin metro. We take signing orders from title companies, lenders, law firms, and businesses; dispatch the signing to a vetted contractor notary; run an AI scan-check QA on the executed package; and deliver scans + tracking + invoice through one portal.
Where do you operate?
Austin / Travis / Williamson / Hays counties today. See /coverage for the current ZIP-level network. RON (remote online notary) coverage available statewide TX once a remote session is requested.
How is this different from SnapDocs or NotaryDash?
Marketplaces match you to a notary and step out. We run the full workflow: intake → dispatch → execution → scan-check QA → delivery → invoicing. One accountable workflow per signing, direct pricing (no marketplace markup), one portal for all status + docs.
How fast can you confirm an order?
Sub-2 minutes for order confirmation. Sub-30 minutes for notary assignment during business hours. Rush coverage available — most same-day and after-hours signings can be accommodated.

Placing + managing orders

How do I send an order?
Three ways: (1) the web intake form, (2) forward an order email to our dispatch inbox (Claude extracts the fields automatically, ops reviews + confirms), or (3) bulk CSV upload for 5+ at once.
Can I track an order without logging in?
Yes — public lookup at /status with your order number. For full message threads and document downloads, sign in at /client/login (magic-link to the email on your account).
What about single-package vs dual-package signings (e.g. purchase with borrower + seller copies)?
Every intake path now collects the print-copy count (1 = single, 2 = dual, 3+ = call dispatch). The notary sees the package count on their offer so they print the right number of copies. Print fee is invoiced per the rate sheet.
Can I reschedule or cancel an order?
Yes — every order-received email includes self-serve cancel + reschedule links (HMAC-signed, no login). Title-co portal users can also do it from their order page.

Pricing + billing

How does pricing work?
Direct per-signing pricing. See the live services + pricing page and the rate sheet for printable details. No marketplace markup, no platform surcharge.
When do you invoice?
Same-day invoicing on completion. Net-15 standard terms.
Do you support recurring billing?
Yes — title companies on retainer can set up a recurring plan on /ops/recurring. Monthly invoice auto-drafted via cron; you approve + send.
Are there rush or after-hours surcharges?
+$50 after-hours/weekend, +$50 same-day rush (under 4 hours notice). Hospital/ALF/hospice on-site visits +$50. Travel beyond standard zones at $0.70/mile.

Scan-check + quality

What is "scan-check"?
Every executed package routes through our AI scan-checker before it ships to the title company. The checker reviews signatures, initials, notarial certificates, venue, witnesses, dates, corrections, and required documentation against the title co's rule profile. Findings flagged for ops review.
Can I customize what scan-check looks for?
Yes — every client gets a custom QC profile. State-specific certificate rules, initial-every-page enforcement, seal placement, required-document checklists, witness rules, and internal compliance preferences. Set up by ops on /ops/scan-check.
What happens when the scanner finds a defect?
Ops gets the finding; if it's fixable in-person (e.g. missing initial), the notary is dispatched back to fix before shipment. If it's a re-sign requirement, we coordinate a same-day or next-business-day re-sign. The title co only sees defects that ship.

For notaries

How do I apply to join the network?
Submit the application at /apply. We review applications weekly. You\'ll be re-prompted via a status link in our confirmation email so you can come back anytime to add documents.
What credentials do I need?
Active Texas notary commission, errors-and-omissions insurance ≥ $100,000 per claim, and a background check within the prior 12 months. NNA certification preferred but not required at intake.
How do offers work?
When a signing comes in, we broadcast the offer to every eligible notary in zone simultaneously. First to tap accept wins; the rest auto-decline. There's no penalty for declining — only ghosting an accepted job hurts standing.
When do I get paid?
Per-signing pay rate is shown on every offer before you accept. After the signing is complete, scans are uploaded, and the package is approved, payment is issued by ACH according to client payment terms.
Do you provide training?
We hire experienced signing agents and trust your craft — no SnapDocs-style bundled curriculum. For newer agents, the National Notary Association\'s NSA certification program is excellent and what we look for on applications. See the Help tab in your portal for our platform-specific guide.

Trust + data

Who else can see my closing documents?
Ops (for QC + dispatch) and the assigned title-co user (via the portal). Notaries see only documents on their own assignments. Documents stored in capability-style URLs (random-suffix keys, not enumerable from IDs).
How long do you keep records?
Order + assignment records: 7 years (per the standard real-estate retention window). Notary journal records: 10 years (Texas Gov. Code Ch. 406). Daily soft-archive cron at /api/cron/records-retention; archived rows remain accessible for legal-hold lookups.
Are you GLBA / FCRA compliant?
Privacy + Terms pages reflect GLBA Safeguards Rule alignment as a financial-institution service provider. FCRA § 604(b)(2) standalone disclosure + authorization captured at notary intake. Full controls map on the Trust + Security page.
Do you have a vendor packet?
